Definition

This is technical work providing a variety of support services in fleet management, mail management, printing operations, information management and document retention, inventory and equipment management, and/or equipment repair for a state agency.

Minimum Qualifications

Applicants must meet one of the following eligibility requirements:

Four or more years of office support experience, including one or more years in information management and document retention, inventory and equipment management, mail management, printing operations, fleet management, or a closely related area; and possession of a high school diploma or proof of high school equivalency.

(Training from an accredited vocational or business school in Office Management, Administrative Assistant/Secretarial Science, or a closely related field or earned credit hours from an accredited college or university may substitute on a year-for-year basis for the stated general experience at a rate of 30 earned credit hours, or 480 clock hours for one year.)

Special Requirements

By assignment, a position may require possession of a valid vehicle operator’s license.

Job Duties

This description may not include all of the duties, knowledge, skills, or abilities associated with this classification.

Performs a variety of support services requiring the application of technical expertise.

Manages a small centralized fleet; arranges for maintenance and repairs; and inspects vehicles and performs minor maintenance.

Maintains vehicle records such as fuel consumption, maintenance, usage, and cost of operation.

Performs preventive maintenance and minor repairs on office equipment; arranges for service or repair.

Receives, stores, and issues a variety of supplies and/or equipment; assigns fixed asset and inventory tracking numbers; maintains inventory records and conducts physical counts of supplies; and orders additional stock based on a predetermined order point.

Provides advice and consultation to agency personnel on printing requirements and processes; assists with the design and creation of forms; and prepares printing requests.

Sets priorities for outgoing mail; prepares material for mailing; schedules the delivery and pick up of agency mail; and processes and distributes incoming mail according to established procedures.

Arranges for internal records storage and retrieval and transfer of dated records to the Secretary of State archives; maintains documentation of records stored at the archives.

Travels frequently to conduct inventory duties, maintain equipment, and transport vehicles, equipment, and supplies.

Supervises a small number of staff; evaluates performance; and reviews work for accuracy, timeliness, and compliance with instructions and procedures.

Exercises independence within established guidelines; receives general supervision from an administrative supervisor.

Performs other related work as assigned.
