This is entry-level specialized work serving as assistant to the Corrections Records Officer III responsible for the management of a complex offender records operation in a correctional facility of the Missouri Department of Corrections, or responsibility for offender records in a Transition Center in the Division of Probation and Parole.

Minimum Qualifications

Applicants must meet one of the following eligibility requirements:

One or more years of support work in recording and filing criminal records under the supervision of a Corrections Records Officer (or other title with comparable responsibilities); and possession of a high school diploma or proof of high school equivalency.

Job Duties

This description may not include all of the duties, knowledge, skills, or abilities associated with this classification.

Assists a Corrections Records Officer III in maintaining offender records including fingerprints, photographs, case histories, sentence and judgment papers, legal forms, and releases.

Maintains records of offenders assigned to a Transition Center.

Computes discharge dates including conditional releases and time credit dates.

Receives and processes sentence and judgment papers; reviews and verifies court documents for correct charge, sentence length, program eligibility, and jail time credit.

Assists in maintaining computerized offender records; reviews records, edits information, and provides detailed reports to appropriate personnel for corrections/modifications to the system.

Interviews offenders and responds to routine correspondence explaining time calculations and detainers.

Prepares and furnishes certified copies of sentence and judgment papers, offender records, and other identification materials to law enforcement agencies, prosecuting attorneys, courts, and other officials involved in the case.

Prepares reports including offender movement, releases, escapes, and violations.

Prepares escape warrants and documents for extradition, facility transfers, and releases.

Supervises and trains staff engaged in routine record keeping tasks.

Assembles and processes records for offender movement into and out of the facility; arranges for proper disposition of offenders’ personal effects.

Responds to routine inquiries from court officials, attorneys, judges, law enforcement agencies, and offenders’ families relating to offender records, while maintaining confidentiality and security of offender records.

Receives general administrative direction; work is reviewed for compliance with facility and departmental policies and procedures, and with Missouri Statutes.

Performs other related work as assigned.

Key Skills

Intermediate knowledge of Missouri criminal statutes, rules and regulations governing the granting of paroles, conditional releases and related procedures, and department policies and procedures regarding offender records.

Intermediate knowledge of offender record keeping practices, including legal terminology and classification.

Intermediate knowledge of legal requirements involving sentence status.

Intermediate knowledge of grammar, filing, and mathematics.

Intermediate knowledge of identification procedures, including methods and equipment used in photography and fingerprinting.

Ability to prepare and maintain accurate records and reports.

Ability to train and supervise the work of staff.

Ability to communicate effectively.

Ability to establish and maintain effective working relationships with other employees, offenders, court officials, attorneys, judges, and law enforcement agencies.
